Event photography pricing starts with the programme and required images
A price is meaningful only when the event is defined
Event photography pricing can vary because events place different demands on planning, time, staffing, movement and delivery. A two-hour private celebration in one room is not the same assignment as a full conference with parallel sessions, executive portraits, sponsor requirements and urgent media selects.
Build the quotation from the programme, venue, audience, priority images and intended use. The planning ranges below give you an early budget, while your project-specific written quotation confirms the actual price.
You can use the event photography service to prepare coverage. Conferences can also use the dedicated conference photography page .
Shammah Media event photography estimates
Estimates are effective 4 August 2026 and assume Nairobi-based edited digital delivery. Travel, parking, permits, physical products and adjacent video or livestreaming are separate unless stated. A written 14-day quotation controls the final price.
The range is positioned against visible Kenyan market offers rather than claimed past Shammah Media bookings. Inframe Studio’s published rates start corporate event work at KES 15,000 and general event or wedding work at KES 30,000. Brand Speaks Life’s published event packages place up-to-four-hour photography with social content at KES 45,000–80,000 and price larger photo-and-video productions separately. Compare the inclusions as carefully as the figures because these are not identical scopes.
| Scope | Provisional estimate |
| Up to four hours | KES 25,000–45,000 |
| Up to eight hours | KES 45,000–80,000 |
| Multi-room, multi-photographer or urgent delivery | From KES 80,000 |
Variables that affect event photography pricing
Coverage duration
State the exact reporting time, programme start, photography finish and venue exit. Include setup, registration, breaks and the expected end of important programme items.
Event structure
Speeches, panels, performances, awards, networking, exhibitions and formal groups require different positions and timing. Parallel rooms may need simultaneous coverage.
Team size
One photographer may suit a focused event in one space. Several rooms, simultaneous priorities, a large guest list or rapid delivery may require additional photographers or production support if offered.
Venue and movement
Room layout, stage height, lighting, security, access, parking and distance between spaces affect the plan. Multiple venues introduce travel and schedule risk.
Image priorities
Sponsor evidence, speakers, VIPs, audience interaction, branding, exhibitors and formal groups should be named. A long undifferentiated shot list does not replace priorities.
Editing and delivery
Selection, general editing, detailed retouching, file organisation, gallery access, captions and turnaround can change the work after the event.
Usage
Private event sharing, corporate reporting, press distribution and paid advertising have different requirements. State intended users, channels and duration.
Physical or adjacent outputs
On-site prints, frames, albums, same-day slideshows, video, interviews and livestreaming are separate deliverables unless quoted explicitly.

Compare quotations in a fixed sequence
Match the programme
Before production, confirm which sessions, arrivals, breaks and closing activities fall within the proposed hours. Package labels such as half day are not enough.
Match the team to simultaneous priorities
You can map rooms and programme overlaps. Ask what the quoted team can cover realistically and what would be missed when priorities conflict.
Match the deliverables
When comparing options, consider the delivered selection, editing, resolution, naming, gallery or transfer route, previews and complete-delivery timing.
Match image usage and privacy
You can record where the client may publish images, which third parties need access, whether guests have been informed and whether the photographer may use the work publicly.
Match logistics and exceptions
Before booking, check travel, parking, meals for long assignments, permits, access, programme overrun, cancellation and rescheduling.
Compare the complete commitment
Separate included work, optional additions, exclusions, taxes and change terms. Ask for missing information in writing.
Request a programme-based quotation
Send Shammah Media the event date, venue, current programme, attendance, priority people, required uses and delivery deadlines. A useful quotation should explain coverage, team, editing, handover, travel and optional services separately.
Coverage time is not only stage time
Photography may begin before guests arrive to capture the venue, branding and registration. It may continue after formal sessions for groups or networking. Reporting time, setup and the last required image should therefore be visible in the scope.
Events commonly run late. Identify which final programme item matters and how additional time can be authorised. An event manager—not a guest—should be empowered to adjust priorities or approve an extension under the agreed terms.
For multi-location events, include movement and security processing in the schedule. Time spent travelling cannot also be used to photograph activity occurring elsewhere.
Choose team size from the coverage map
You can create a simple grid with time across the top and rooms down the side. Mark every non-repeatable priority. If several priorities occur at once, decide whether to add coverage, change the programme or accept that one person cannot record everything.
A personal photographer for a small gathering may remain with a host, family or guest of honour. That focused role differs from documenting the complete room and programme. Define whether the priority is one person, general atmosphere or both.
Additional team members do not automatically improve results. They need clear zones, communication and a consistent delivery workflow. Ask who leads and how files are combined.
Define editing and delivery
You can ask how images are selected and what general finishing is included. Detailed retouching, object removal, fast captioning or extensive file variants may require separate work. “Edited photos” should be described in plain language.
For media or social teams, define whether a small priority selection is needed during or shortly after the event. Name the recipient, transfer route, approximate quantity, orientation and deadline. Urgent delivery must be confirmed against actual capacity.
The complete gallery may need folders by session, speaker, day or sponsor. Supply accurate names and programme references rather than expecting the photographer to identify every attendee. Confirm gallery access, expiry and archive policy.
Clarify usage, consent and sponsor needs
State whether photographs support internal reporting, websites, social media, press, advertising or sponsor reports. Include agencies and partners that need legitimate access. Usage terms should match those requirements.
The organiser is well placed to communicate photography to attendees and manage consent or restricted participants. Provide a process for people who should not be photographed and take extra care with children, private events and sensitive sessions.
Sponsor requirements should identify the exact brands, placements and interactions to document. Photographing every logo repeatedly can displace more meaningful coverage; prioritise the evidence required for reporting.
Photography, video and livestreaming are separate scopes
One supplier may coordinate them, but each service needs defined crew, equipment, access and deliverables. Explore event coverage video or livestream services when your event needs moving images or a live remote audience. Do not infer video or streaming from a photography package.
| Service | Primary output | Additional planning |
| Event photography | Edited still-image collection | Shot priorities, people, usage and gallery delivery |
| Event coverage video | Edited moving-image story or clips | Audio, sequences, interviews and edit versions |
| Livestream services | Live remote viewing and recording | Connectivity, platform, sound, cameras and redundancy |

Avoid these pricing mistakes
Comparing hours without comparing the programme
The same duration can cover very different activity. Map each proposal to the event schedule.
Assuming one photographer can be in every room
Simultaneous sessions require prioritisation, programme changes or additional coverage.
Using image count as the only quality measure
Relevance, consistency, storytelling, editing and file organisation also matter.
Forgetting urgent delivery
Press or social selects change the workflow. Include their number, recipient and deadline in the quotation.
Leaving usage unstated
Corporate, sponsor, press and advertising needs should be agreed before booking.
Treating the headline total as the final commitment
Before booking, check travel, overtime, taxes, physical products and adjacent services.
Frequently asked questions
How is event photography priced?
Providers may consider time, team, programme complexity, locations, travel, editing, delivery and usage. Request a current quotation against a complete event brief.
How many hours do we need?
You can map photography to the first and last essential programme items, then include setup, movement and any groups after the formal programme.
Do we need two photographers?
Possibly when important activity happens simultaneously, rooms are far apart or broad guest coverage is required. Decide from the programme map.
Can we receive photographs during the event?
Urgent selects may be scoped if capacity and transfer arrangements allow. Confirm quantity, editing, recipient and deadline in writing.
Is a personal photographer different from an event photographer?
A personal photographer may focus on one host or VIP, while general event coverage follows the room and programme. State which outcome takes priority.
Are travel and parking included?
You should not assume so. Provide the venue and access information, then check the written quotation.
Can photographs be used by sponsors and press?
State all intended users and channels. The agreement should define permitted distribution, privacy and any credit requirements.
Does event photography include video?
Not unless video deliverables are separately listed. Stills, video and livestreaming require different plans.
How quickly will the complete gallery arrive?
Timing depends on scope, editing and current capacity. Request a written delivery window and distinguish priority selects from final delivery.
Get current event photography pricing
Send the programme, venue, expected attendance, coverage priorities and delivery requirements through the Shammah Media contact page . You will receive current pricing in a written scope built around your event rather than an unexplained generic package.
Current planning terms use a 14-day quotation validity period, a 50% booking deposit and one consolidated review round. Travel outside Nairobi is quoted separately, and digital working files are normally retained for 90 days. Your signed quotation takes priority if different terms are agreed.
