We begin by separating the outputs. Individual family products can remain within a controlled ordering process. Staff files can go to an authorised internal owner. Marketing photographs can follow the school’s approved publication list. This keeps a convenient combined photography day from becoming an uncontrolled pool of images.

How your school photography project works
Share the school type, campus or campuses, pupil and staff numbers, age ranges, required photographs, possible dates and intended products. We identify whether the assignment is portraits, groups, an event, marketing work or a combination.
Your authorised team explains the school’s current visitor, safeguarding, supervision, participation and privacy procedures. Together, we define the minimum identity information needed, who may access it and the contact for decisions on the day.
We allocate realistic movement, setup and photography time by class or group. Younger pupils, accessibility needs, breaks, meals, examinations, transport and teaching priorities are considered before the schedule is approved.
Authorised staff manage pupils, movement and behaviour while Shammah Media follows the agreed portrait or coverage plan. Any restriction, welfare concern or instruction from the school’s responsible contact takes priority.
The agreed process covers image matching, school checks, family proofing where applicable, corrections, production and distribution. Different recipients receive only the images or products they are authorised to access.
Safeguarding roles stay clear
Your school knows its pupils, policies and legal responsibilities. It therefore remains responsible for supervision, participation decisions, restricted areas and safeguarding during the project. A photographer does not replace a teacher, childcare provider or authorised school supervisor.
Before arrival, provide the relevant visitor procedures, conduct expectations, emergency information and escalation contact. During photography, a staff member who knows the pupils should remain available. Photography stops or changes where an authorised instruction, pupil welfare concern or immediate safety issue requires it.
Changing areas, toilets, medical rooms, counselling spaces and other sensitive locations remain outside the assignment unless the school has explicitly approved an appropriate reason and process. Marketing ambitions never take priority over these boundaries.
Inform parents, guardians and pupils
The school communicates the photography purpose, date, available products, delivery process and participation choices through its approved channels. It is also responsible for determining the appropriate permission or other lawful basis for each image use, using qualified advice where necessary.
Pupils should receive age-appropriate information about what will happen. Your staff can use a discreet, controlled method to identify pupils who are not participating or whose images have restrictions, without announcing private details to a classroom.
Permission for a family portrait product does not automatically cover website marketing, social media, Shammah Media portfolio use or another public purpose. These uses remain distinct so the school can apply the correct authority to each one.
Keep pupil identification controlled
Accurate matching matters, but the workflow should use only the information needed. The school supplies one controlled list or identifier method and appoints an owner for corrections. We do not rely on memory, public name boards or informal message threads to match a child with a file.
The final process can reconcile photographed pupils, absences, class changes and retakes before products are made. Full names, dates of birth and other unnecessary data should not appear in public filenames or visible props.
If parents view or order photographs online, the access model must prevent unrelated families from seeing another child’s files. An unlisted link alone does not guarantee appropriate privacy, so the actual proofing and delivery method is agreed before it is offered.
Build a timetable pupils can move through
A realistic photography day accounts for registration, movement between classrooms, individual portraits, group setup, accessibility adjustments, staff breaks and ordinary delays. The aim is to keep teaching disruption and pupil waiting time manageable.
Younger classes may need shorter queues and familiar staff close by. Older pupils may need the session placed around examinations or specialist lessons. If the project covers more than one campus or requires equipment to move between rooms, the travel and reset time belongs in the schedule.
The number of pupils that can be photographed depends on the chosen setup, group requirements and school movement plan. We confirm capacity after reviewing those details rather than promising an arbitrary total before the workflow is known.
Consistent portraits without losing individual dignity
A repeatable background, camera position and crop help the school set feel coherent. Within that structure, we respect reasonable adjustments for mobility, assistive devices, religious clothing, hair, uniforms and sensory needs.
The school communicates uniform and appearance expectations before photography day and handles concerns through its own staff. Our role is to photograph pupils respectfully, not discipline or shame them. Standard editing preserves a credible likeness and an even photographic finish.
Group photographs use stable, suitable arrangements and do not require unsafe furniture or forced physical contact. The available space and the age and size of the group determine what can be arranged comfortably.
School events and ceremonies
Event photography begins with the programme, priority moments and permitted working areas. Tell us about key speakers, awards, teams, performances, visiting guests and pupils who must not appear. An informed school contact should be available when the live programme changes.
Public attendance does not remove the school’s child-image responsibilities. Coverage still follows the approved participation and publication process. When the project also needs edited highlights, interviews or a record of speeches and performances in motion, school photography can be combined with event video coverage.
If remote families or another audience need to watch live, livestreaming services can be assessed separately around venue connectivity, audio, platform access and pupil visibility.
Marketing photographs that represent the real school
Website and prospectus photography should help families understand the genuine learning environment. We can plan wider campus views, facilities, approved classroom activity, staff interaction and selected details according to the school’s communication priorities.
The institution remains responsible for the accuracy of captions, educational claims, pupil names and testimonials. We do not stage unsafe behaviour, expose confidential records or imply results that a photograph cannot prove.
Provide a shot priority list, but leave enough flexibility to photograph authentic activity. One busy day may not represent every season, programme or facility, so the scope should focus on the content the school can genuinely support during the assignment.
Proofing, ordering and finished products
Your project may provide digital files, printed portraits, class photographs, photo frames and mounts or a photobook. Products are offered only after sizes, finishes, quantities, production capacity and distribution responsibilities are confirmed.
The ordering model must state whether families preview images, place orders through the school or use another approved route. Prices, payment handling, missed orders, corrections and customer support need a named owner rather than being decided after photography day.
Packages or envelopes should not expose pupil names or photographs to unrelated people. The school and Shammah Media agree on labelling, secure handover and the treatment of uncollected products.
Absences, retakes and corrections
Share the absence and retake policy with families before photography day. The approved scope will explain whether another date is available, what qualifies for a retake and who authorises it.
Spelling, class or identity corrections go through the school’s nominated owner and controlled source list. If an error affects a file or printed product, the team records what must change before reproduction. Private pupil information should not move through informal group messages.
A preference for another expression is different from a technical defect or an identity error. Clear terms help the school respond consistently and keep the support process fair.
