How we plan your livestream
We begin with the date, venue, programme, audience, platform and purpose. Tell us how many rooms are involved, whether speakers will join remotely and whether any part of the event is private or must not be streamed.
We identify camera positions, sound sources, presentation needs, account access, internet availability, power, setup time and production responsibilities. A site assessment may be required when venue conditions are uncertain.
Before the programme, we test the agreed cameras, sound, graphics, videos, presentations, platform access and connectivity. Complex transitions or remote contributors may require a rehearsal.
The production team follows the final running order, selects the appropriate views and monitors the outgoing stream. Your event decision-maker provides one clear route for authorised programme changes.
At the end, we close the live event on the agreed platform and handle the recording or post-event edits named in your quotation. A platform replay, separate recording and edited highlights are not the same deliverable.
Prepare your venue for livestreaming
Internet connection
General browsing or venue Wi-Fi does not by itself confirm that a connection is suitable for sustained live video. Identify the network owner and technical contact, provide access details and allow time for testing. The required connection and contingency approach depend on the stream, platform and consequence of interruption.
Sound
Remote viewers need to hear speakers, performers, videos and audience questions clearly. Tell us what microphones and mixing system the venue provides, who operates them and what audio output is available for the livestream team.
Camera positions and access
Reserve positions with a clear view of the stage or programme area and enough safe space for equipment and crew. Confirm setup time, power, cable routes, security procedures, parking and any restriction on movement during the event.
Presentation and playback files
Send final slides, videos, logos, speaker names and titles before the test window. Last-minute replacements can affect playback, sound, formatting and the accuracy of information shown on screen.
Design the experience for remote viewers
Someone watching online does not have all the context available inside the venue. A useful livestream tells viewers when the programme starts, who is speaking, what they are seeing and what happens during a break.
Share the final title, description, thumbnail or event artwork and viewing instructions early. Decide who sends the link and schedule updates to the audience. For restricted access, test the joining process with a person who is not an administrator of the account.
Tell us what should appear before the event, during breaks and after the final item. Depending on the plan, viewers may see a holding graphic, programme information or a clear end screen instead of an unexplained empty stage.
If viewers can ask questions or use chat, appoint someone to moderate that activity and communicate approved questions to the event facilitator. The production team cannot assume responsibility for community moderation or individual viewer support unless those roles are included.
Build a running order the live team can follow
Provide a timed production programme that includes introductions, speakers, panels, performances, presentations, videos, breaks, remote contributors and the planned finish. Mark moments that cannot be delayed or repeated.
Give the team checked spellings and titles for every on-screen name. Identify one organiser who can approve a live change and one venue technical contact who can resolve sound, power or network access questions.
For remote speakers, confirm how they will join, who admits and briefs them, and what happens if their connection fails. Ask each contributor to test from the device and network they expect to use during the event.
When livestreaming should be combined with other services
Add event photography when you also need a still-image record for reporting, publicity, sponsors or participants. A photographer can concentrate on expressions, interactions, branding and moments that a livestream camera may not capture as finished photographs.
Add event video coverage when you need edited highlights, interviews or a more controlled post-event film. The livestream serves the audience watching in real time; videography shapes the event into content people can watch and share afterwards.

Decide what happens after the broadcast
Before the event, choose whether viewers should be able to replay the programme and for how long. A recording that remains publicly available may need different speaker, music and presentation permissions from a stream intended only for the live audience.
Also decide whether the platform replay is sufficient or whether you need individual sessions, a downloadable record, edited highlights or short clips. Tell us who can approve post-event publishing and whether any confidential or restricted section must be removed before the recording is shared.
After the programme, confirm the replay title, description, access setting and audience communication. This prevents an outdated test link, private session or incomplete description from becoming the event’s long-term public record.
Manage live-event risks clearly
Livestreaming depends on the venue, internet provider, platform, power, equipment and event schedule. Testing and contingency planning reduce risk, but no responsible provider can promise that a live service will never be interrupted by conditions outside its control.
Before booking, discuss how important uninterrupted transmission is and what contingency level the event requires. Identify who may delay the programme, switch to a holding screen, contact the venue network team or communicate an access problem to viewers.
Privacy and content rights also matter. The organiser should tell attendees and contributors about the planned broadcast where required, identify restricted sessions and confirm permission to transmit presentations, music, videos and other third-party material.

Shammah Media is based in Nairobi and can travel for suitable livestream productions in other Kenyan cities and towns. Availability, travel, accommodation and setup requirements depend on the location, schedule, crew, equipment and venue access.
If organisers or viewers are outside Kenya, share the time zone and audience communication plan. Remote coordination can begin before the local event team arrives at the venue.
