Urgent selections and the final edited library are planned separately. Our normal photography turnaround is two to four weeks, while any agreed same-day or early delivery has its own quantity, recipient and approval route.
Get photographs while the event is still happening
Press releases, social posts and stakeholder updates may need selected images before the full event is over. We can assess an urgent workflow when you define the priority moments, approximate number of files, deadline and recipient.
Your communications contact should be ready to identify speakers, confirm titles and approve captions. The photographer supplies the agreed images; your organisation verifies factual wording and publication permission.
Continuous coverage, selection, editing and transfer are separate tasks. If urgent files are needed repeatedly through the programme, that work must be included in the staffing and schedule rather than treated as an invisible addition.
Make sponsors and partners visible with context
Send sponsor and partner requirements before the event. These may include signage, exhibition areas, speaking opportunities, product activations, representative portraits or interaction with guests.
A logo-only image can show placement but may not communicate activity. An interaction image can show energy while making the sponsor less obvious. Where contractual reporting needs both visibility and context, we plan both kinds of photograph.
The commissioning organiser controls which partners receive the files and the applicable usage, captions and privacy limits. This prevents conflicting instructions from several stakeholders during the live programme.
Awards, launches and formal groups
Awards photography works best with a correct running order, recipient names, presentation position and a short pause facing the official camera. We coordinate this without turning each award into a prolonged interruption.
Ribbon cuttings, signings, handovers and launches need a named cue and clear line of sight. If media teams or several photographers will be present, the organiser should establish an access arrangement that protects the official record and guest experience.
Formal groups require more than calling names into a crowd. Allocate a location, time and coordinator who recognises the participants. Capture the largest or most time-sensitive groups first, then move to smaller combinations where the programme permits.
Respect attendee privacy and restricted content

Badges, projected slides, documents and screens can reveal personal or confidential information. Tell us about sensitive content before coverage and ensure the communications team checks relevant delivered images before publication.
Permission to attend an event does not automatically make every attendee photograph suitable for marketing. The organiser remains responsible for the authority and privacy process behind each intended use.
Multi-room and multi-day events
One photographer cannot fully document two rooms at the same time. If sessions run concurrently, you can rank the rooms, choose representative visits or provide enough coverage resources for the completeness you require.
For multi-day events, share the hours and priorities for each day. Speaker changes, sponsor requirements, evening functions and daily urgent handovers all influence staffing and working time. A single event name does not mean every day has the same coverage need.
Projects outside Nairobi may also require travel, accommodation or early venue access. These logistics appear in the quotation where applicable.

Prepare the venue for stronger photographs
Tell us when the room, stage, tables, registration area and displays will be visually ready. Clean detail and branding photographs are easiest before guests arrive or signage becomes obstructed.
Check sight lines, restricted walkways, lighting changes and places where a camera position could interfere with guests or other production teams. If you want a branded portrait wall, plan its location, lighting, queue and host rather than placing it in a congested entrance.
Outdoor events need covered alternatives and a clear weather decision route. Evening programmes can change dramatically after daylight fades, so share both daytime and night-time priorities.

Still photography gives organisers a flexible record for reports, publicity, websites and quick sharing. Add event video coverage when speeches, interviews, performances or movement need a more complete edited record. Add event livestreaming when an approved remote audience needs to watch in real time.
